Xerox Printer Setup

A. Download Printer Driver

  1. Go to Xerox Support & Drivers
    1. Under “Drivers & Downloads”, in the “Associated Controller” drop down, make sure that “Built-in Controller” is selected
    2. Under “Operating System”, make sure your current operating system is selected (should automatically populate)
      • NOTE: For mac, you can find this out by hitting the apple icon at the top left of your screen and selecting “About This Mac”
      1. If “Operating System” drop down menu does not pop up automatically when “Built-in Controller” is selected, click on the “Drivers & Downloads” tab and reselect “Built-in Controller” in the drop down menu
    3. Click and download the print driver installer

B. Install Driver

  1. Open the downloaded driver by double clicking it
    1. Hit “continue” when prompted
    2. Highlight the space specific printer driver, “Xerox WorkCentre 7845”, when it pops up and click on “continue”
    3. Hit “continue” or “install” when prompted until you get the notice that the printer has been successfully installed

Once you have downloaded and installed the driver:

C. Add printer code to computer

  • For Windows
  1. Go to Control Panel
    1. Under “Hardware and Sound”, select “View devices and printers”
    2. Click on the space specific printer, “Workbar7845[Location]”. For example, for Norwood, click on the printer called “Workbar7845Norwood”
    3. Select "Customize my printer”
      1. Select the “Configuration” tab
      2. Under "Accounting", click on “Accounting Codes”
      3. Enter your four digit printer code under “User ID”
      4. “Account Type” should be “Default Group Account”
  2. Open a document to print, preferably a Word document
    1. When first printing, set it up to be B&W as the default
      1. Go to “print” and then select “Printer Properties” or “Preferences”
        • NOTE: If using Chrome, please hit the link at the bottom of the print screen that says "print using system dialogue" (you will have to press this link anytime you print from Chrome)
      2. Go to the “Image Options” then “Color Correction” tab
      3. Check the box for “Xerox Black and White Conversion”
      4. Under the “Saved Settings” drop down, click on the default associated with the current program you are printing from labeled as “Save As [Program Name] Defaults”. (e.g. if you are printing from Microsoft Word, choose “Save As Microsoft Word Defaults”)
        • NOTE:You will have to do this for each program the first time you print. This will make your default setting when printing to be in B&W.
  • For Mac OS
  1. Open a document to print, preferably a Word Document
    1. Go to the File menu
      1. Select "print"
        • NOTE: If using Chrome, please hit the link at the bottom of the print screen that says "print using system dialogue" (you will have to press this link anytime you print from Chrome)
    2. "Add printer code to printer settings"
      1. In the printer dropdown select the location specific printer “Workbar7485[Location]”. For example, in Norwood, select the “Workbar7845Norwood” (should be selected automatically)
      2. Go to the third dropdown menu and select “Xerox Features”
      3. Go to the next dropdown menu that says “Paper/Output” and select “Advanced”
      4. Click on “Accounting” listed next to “Configuration”
      5. Under “Default User ID” enter your 4 digit printer code
      6. In the dropdown “Accounting Prompt” select “Do Not Prompt” and click “OK”
    3. Make printer color presets
      1. Go back to the “Advanced” drop down menu and select “Image Options”
      2. Select “Automatic Color”
      3. Go up to the “Presets” drop down menu and select “Save Current Settings as Preset” and save the Preset as “(Location) Color”
      4. Now change the Color Options to “Xerox Black and White”
      5. Go up to the “Presets” drop down menu again and select “Save Current Settings as Preset” and save the Preset as “(Location) B&W”
        • NOTE: You may now either print your document or exit the printer dialogue. When you are ready to print, make sure to choose one of the new saved presets, and you should be all set!
